Role Summary
As part of the ITRM Business Operations team, you will report directly to the Operations Manager. As part of this team, you will be responsible for the development and ongoing support of the Company.
Your key responsibilities as a Business Operations Assistant will include but are not limited to:
- Manage all procurement for the Company’s busy Network Cabling team
- Managing all internal purchasing, including stationery and all other office supplies
- Supply chain/inventory management goods in and goods out
- Reviewing and approving supplier invoices, checking supplier invoices against prices, investigating and managing any discrepancies
- Liaising with the finance team and completing final invoicing checks to assist with the processing of supplier payments
- Maintaining accurate expenditure and billing records for the Finance and Business Operations teams.
- Assisting the office management function with the co-ordination of internal facilities maintenance contracts, including scheduled maintenance visits and general contract management
- Provide holiday/sickness cover for the Business Operations team
- Monitoring all incoming Business Operations and Reception communications and requests, ensuring they are dealt with quickly and efficiently
- Providing telephone support on the Company’s main reception line, answering and directing incoming phone calls
- Providing front of house support for pre-arranged client visits
- Provide administrative / project support to all business delivery units as and when required. This could include but is not limited to – preparing and distributing staff surveys, helping with event management, arranging staff social events, and general office housekeeping etc.
Knowledge, skills and experience required
- At least two years of experience in a similar customer-facing position
- Competent in the use of Microsoft Word and Excel
- Excellent verbal and written communication skills
- A high level of accuracy and attention to detail is required
- Ability to structure and organise a varied workload
- Ability to prioritise effectively
Technical Experience
- Competent in the use of Microsoft Word and Excel
